Know how your project information will be managed

Agree the portal scope, access, support and record arrangements before mobilisation. These are part of the service proposal and project setup.

Access and responsibilities

Portal access is arranged through AXIS. Accounts and project roles determine the information and actions available to a user. Management oversight, reviews and specialist appointments are agreed for the project.

Your project records

The project agreement should identify the record owner, permitted users, required outputs and any restrictions on sharing. Upload only information you are authorised to use. Review states and document records support project decisions; they do not replace specialist certification or formal client acceptance.

Exports and retention

Agree the required records, attachments, file formats and retention period at the start. A management summary is different from a complete project archive. Check the contents and any exceptions in an export before relying on it as your retained project record.

Backup and outage arrangements

Before mobilisation, confirm the backup scope, retention, restoration arrangements and the procedure to follow if the portal is unavailable. Project archive downloads and service recovery serve different purposes. Specific recovery commitments belong in the written service schedule.

Using the portal on site

Use an individual account and a suitably secured device. Online access is needed to verify current authority and send records to the project. Follow the portal guidance for any locally saved drafts; a local draft is not a submitted site report.

Support and onboarding

Each proposal defines the project setup, user introduction, support hours and escalation contacts. For existing access or technical queries, contact support@axisutility.co.uk or your project administrator. For immediate danger, use the site emergency arrangements.

Working with your existing systems

Discuss your drawing, document and reporting requirements before setup. File imports and exports should be checked against the client’s required format. Any automatic integration or synchronisation must be specifically agreed and demonstrated.

Procurement information

Ask us for the information needed for your supplier review, including the service scope, available company documents and project data arrangements. We will confirm the evidence available for your proposed appointment.
