AXIS portal terms of use
These terms govern individual use of the AXIS portal for professional project work. Your organisation’s signed service agreement defines the purchased services and commercial commitments.
Updated 15 September 2026 · Version 2026-09-15.1
Who these terms apply to
AXIS Utility Group Ltd is registered in England and Wales under company number 16966025. Registered office: 1 Cold Ashby Road, Guilsborough, Northampton, England, NN6 8QN. Contact support@axisutility.co.uk for portal queries or info@axisutility.co.uk for contractual questions.
Use an account issued to you by AXIS and only for projects to which you have been given access. Accepting these user terms does not order a paid service, bind your employer to new fees or grant authority to approve work on its behalf.
The service agreement
The signed service agreement and any agreed data processing and service schedules take priority if they conflict with these user terms. The agreement identifies whether the appointment includes portal access only, management and health and safety oversight, or additional resources. It defines users, projects, deliverables, fees, payment, support, retention, exports and recovery arrangements. No additional service or charge arises merely from signing in or accepting these terms.
Your account and permitted use
Keep your account and authentication factors secure and do not share your login. Report suspected misuse promptly. Use the portal within your assigned permissions, organisational instructions and actual appointment. System access and a job title do not create specialist competence or electrical, temporary works, design or statutory authority.
You may view, complete, download and share project information with authorised recipients for the project purposes allowed by its owner and the service agreement. Keep downloaded and offline copies on appropriately secured devices.
AXIS material and licensed software
AXIS retains the intellectual property rights it owns in its branding, original content, custom software and reusable background templates. Access grants a limited, non-exclusive right to use those materials for the agreed project and service purposes. It does not transfer ownership of the platform.
Do not copy, resell, sublicense, publish or commercially exploit AXIS-owned platform code, branding or reusable templates beyond the permissions granted. Do not evade access controls or obtain another project’s information. These restrictions do not override applicable statutory rights, authorised exports or the separate licences of third-party components.
Project information and continuing export rights
Uploading information does not transfer ownership to AXIS. Rights remain with the client, contributor or other entitled rights holder, subject to the project agreement. Only upload information you are authorised to use and share. Grant AXIS the permissions reasonably needed to store, process, display, back up and export it to deliver the agreed service.
The client and its authorised recipients may retain, copy and use project records lawfully exported from the service for project delivery, operation, maintenance, handover, statutory retention and the establishment or defence of legal claims, after the subscription ends. To the extent AXIS-owned background material is embedded in those records, AXIS grants a continuing, non-exclusive, royalty-free licence for those purposes. This does not permit selling a standalone AXIS template library or copying the platform.
Agree the export scope, attachments, formats, authorised recipients, delivery window and post-service retention before mobilisation. Subscription expiry does not itself change ownership or extinguish these continuing use rights. Third-party restrictions and lawful confidentiality obligations continue to apply.
Records and professional responsibilities
Provide accurate information to the best of your knowledge. Sign only your own acknowledgements and use the authorised correction or revision process. Preserve the original record and its history when correcting an error. A checklist, review status or electronic acknowledgement is evidence of the recorded action; it is not a guarantee of safety, technical compliance, specialist certification or client acceptance.
The portal supports project decisions. Competent appointed people remain responsible for work planning, inspections, approvals, specialist decisions and emergency action within their actual responsibilities. Use the site emergency arrangements for immediate danger.
Confidentiality and personal information
Limit disclosure to people authorised to receive it. Do not use client records for publicity without separate permission from the relevant rights holders and any necessary personal-data arrangements. The portal privacy notice explains AXIS processing and how project controller responsibilities are allocated. Acceptance of these terms is not consent to marketing or a substitute for an appropriate lawful basis for processing.
Offline working and service availability
Prepare offline access while connected and follow the device-storage guidance. Locally saved or queued work is not a submitted server record until a successful server receipt is shown. Reconnect to check current permissions and resolve any conflicting updates. Keep a safe alternative reporting and escalation route for outages.
Support hours, service levels, backups, restoration objectives and business continuity commitments are those expressly agreed in the service schedule. No uninterrupted-availability or zero-data-loss warranty is created by these user terms. AXIS will exercise the care and skill required by applicable law and the service agreement.
Access suspension and ending an appointment
AXIS may restrict access where reasonably necessary to address suspected misuse, compromised accounts, an instruction from the authorised client, or a material breach of the applicable agreement. Where lawful and practicable, AXIS will explain the issue and a route to resolve it. Contractual notice and termination provisions continue to apply.
Coordinate authorised exports and record handover when access ends. A security restriction must not be used to misrepresent ownership of client records. Requests for retained records and any lawful restrictions will be handled under the agreement and applicable law.
Responsibility and legal rights
The service agreement sets the allocation and limits of liability between AXIS and the client. These user terms do not introduce a separate financial indemnity or liability cap. Nothing excludes liability that cannot lawfully be excluded, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation. Statutory rights that cannot be excluded are preserved.
Version and acceptance
Version 2026-09-15.1 is effective from 15 September 2026. An explicit acceptance records your account, the exact terms version and document fingerprint, and a server timestamp. Signing in alone is not treated as acceptance. You can review your acceptance in Account and app information. Older versions are retained for evidence.
Material changes will be published as a new version and presented for review; previous acceptance will not be silently relabelled as acceptance of new terms. Existing client agreements are changed only through their agreed variation procedure. These terms are governed by the law of England and Wales, and disputes are subject to its courts, subject to mandatory law and the signed service agreement.
